Classroom Auction Coordinator Resources

Thank you for volunteering as Classroom Auction Coordinator to support your grade! Your role involves the following:

  1. Main point of contact for class auction questions/information. This includes:
    • Relay information to Room Parents to be shared with the class through regular communications.
    • Collect money from class families to help build the Class Package.
  1. Coordinate the Class Package: Each class creates a unique auction package to be part of the live or spotlight auction.
    • Brainstorm your classroom package, then check in with the auction chairs for final approval before procurement. This keeps each package unique. Past packages have included trips, parties, group outings, and unique opportunities.
    • Find procured items (if necessary).
    • Gather funds from the class.
    • Deliver class package with procurement forms to Auction Team by procurement date.
  1. Coordinate Class Art Project (Preschool – 5th): Each class creates an art project.
    • Recruit another parent or lead the class art project yourself.
    • Consult with the Auction Team prior to deciding on your class art project to avoid duplication of project themes. Auction Chairs can help with ideas, but a google search is a great place to start!
    • Apply for reimbursement from the Auction Office as there is a budget for each class.
    • Ensure the finished classroom art project is delivered to the Auction Office by the framing deadline.

Other Auction Resources

Thank you for helping the Auction succeed this year!  Volunteering and family support includes the following:

  1. All families are encouraged to honor their tuition contract of $250 per family for donating or procuring items for the auction.
    • Ask your favorite business(es) to donate an item or gift certificate to our auction.
    • Purchase an item to donate to the auction.
    • Make a cash donation or procure an item for your Class Package.
    • Donate bottles of wine (valued at $25 or more) for our Wine Grab game at the auction.
  1. Help the auction run smoothly by volunteering for day-of roles. These are posted with sign ups as we get close to the auction date. These may include: set up, clean up, check in, and more! It takes many hands to pull off a great evening!
